Rules for an AI Agent on WhatsApp: What to Set

An AI agent on WhatsApp is software that answers customer messages in your name, so it needs rules before it needs cleverness. Chirpoo's agent is off until you switch it on, never sends offers, looks up real products and orders instead of guessing, and hands over to your team. You set the rest.

#What rules does Chirpoo's AI agent follow?

These are fixed by how Chirpoo builds the agent. You do not have to remember to set them.

  • Off until you switch it on. A new workspace has no AI replies. Nothing goes out under your name until you decide.
  • Never sends offers. The agent does not offer discounts, coupons or deals. Offers are marketing messages, and they belong in a broadcast that you write, to people who opted in.
  • Looks things up, does not invent. It looks up products and orders in your store and answers from what it finds. If it cannot find an order, it should say so and pass the chat to a person, not guess a delivery date.
  • Hands over to a human. When a customer needs a person, the chat goes to your team inbox. Your staff can see every AI message and take over any time.
  • Answers in your tone. You describe how you talk, such as short, polite, Hinglish if that is how you write, and it follows that.

The agent is part of the Chirpoo plan at ₹999 a month, excluding 18% GST.

#What does Meta's 24-hour window mean for an AI agent?

An agent is still bound by WhatsApp's reply window. Meta's documentation says:

When the window closes, you can only send pre-approved template messages.

Source: Meta send messages documentation

So an agent replies to someone who just wrote to you. It cannot start a chat with a stranger, and it cannot message a customer after the window closes unless a person sends an approved template. Every Chirpoo chat shows the window timer, so your team can see when a conversation has gone quiet. Read the 24-hour window explained for the full rule.

Opt-outs apply too. If a customer writes STOP, "band karo" or uses Meta's own opt-out, Chirpoo ends marketing sends to them. An agent is for service, so keep it away from anything that sounds like a promotion.

#Which rules should the owner set?

Write these down before you switch the agent on. They are your decisions, not the software's.

  1. What it may answer. Opening hours, prices on your site, class timings, delivery times, return policy. Give it those facts in writing.
  2. What it must never answer. Refunds, medical or legal advice, price negotiation, complaints about staff. Send these to a human every time.
  3. When to hand over. A customer asks for a person, repeats a question, sounds upset or mentions money going wrong.
  4. How it sounds. Two or three example replies in your own words. Say how long a reply should be.
  5. Who is on call. An agent that hands over to an empty inbox is worse than no agent. Assign a person for each shift.

Keep the list short. Five rules that your team remembers beat thirty that nobody reads. For a gym or a coaching class, add the batch and slot rules. For a store, add the courier and return window.

#How do you test the agent before customers see it?

Test in the console first. Chirpoo lets you try the agent yourself before it talks to customers, so you can type the questions your customers type and read the answers. No real customer receives anything.

Use a real list. Take the last twenty messages from your inbox, including the awkward ones, and paste them in. Mark each answer as right, wrong or should have gone to a person. If more than a few are wrong, fix your facts and your rules, then test again.

Then go live in small steps. Switch the agent on for one kind of question, such as opening hours, and watch the inbox for a week. Widen it only when your team agrees the answers are good. The same habit applies to flows: Chirpoo has a test run and a shadow mode before a flow talks to customers. See the AI agent guide and reply time and missed leads.

#Why does Meta's automation policy matter?

Meta's pricing and messaging pages describe the window, templates and opt-outs. Meta's Terms for the WhatsApp Business Platform (checked 26 Oct 2026) also contain rules about AI technologies, and they can change. They are long, so read the sections on AI before you build anything custom, and ask a lawyer if your use is unusual.

For an ordinary small business that answers its own customers' questions, the practical rules are the ones above: reply inside the window, use approved templates outside it, honour opt-outs and let a person take over. Chirpoo enforces the window and the opt-out for you.

Start free, write your five rules and run the test on your last twenty messages.

Frequently asked questions about Chirpoo and this topic

Does Chirpoo's AI agent send discounts or offers?

No. The agent never sends offers. Discounts and promotions belong in a broadcast that you write and send to contacts who opted in, using a marketing template that Meta has approved. This keeps AI replies to service questions only.

Is the AI agent on by default?

No. It is off until you switch it on. Test it first with the questions your customers really ask, then enable it for one topic and widen it when your team is happy with the answers.

What happens when the agent cannot answer?

It hands the chat to your team. Your staff see the whole conversation, including what the agent said, and answer from the shared inbox. Assign someone to each shift so a handed-over chat is never left waiting.

Can the agent message customers after 24 hours?

Not with free text. Meta allows only approved templates once the 24-hour window closes. A person on your team sends the template, and the agent takes part again only when the customer replies.
